Fractional Admin
HubSpot Runs on Good Data
Lists of the top 10 mistakes you're making with your CRM often include:
-
Bad data
-
Neglecting ongoing maintenance and updates
-
Failing to monitor performance
-
Having no clear CRM owner
Data hygiene, ongoing maintenance, and policing processes are some of the most neglected aspects of CRMs that we’ve seen, especially by smaller teams where team members wear multiple hats. (It’s a big lift and probably not your favourite hat to wear. No judgement.)
A Fractional Admin can help with these. If you don’t have the capacity and/or expertise to own and monitor the day-to-day operations of your CRM, you can offload that to a Fractional Admin. (This is our favourite hat to wear. Don't judge.)
Fractional Admin Pricing
$500-3,000/month*How Does it Work?
We don't just jump into the driver’s seat; we learn the roadmap of your business first.
1. Discovery & Alignment
We start by auditing the current state of your system, your business goals, and your immediate needs.
Note: If your portal needs a baseline cleanup or a fresh setup to enable success, we’ll identify those projects early. You can tackle these as a one-time intensive or roll them into your long-term fractional engagement.
2. Transparent Pricing
No two CRMs are identical. We provide a ballpark quote based on your initial challenges, followed by a formal scope after discovery.
- The Baseline: Starting at $500/mo (Approx. 1 hour/week) for light maintenance.
- The Power User: Up to $3,000/mo (Approx. 20 hours/month) for deep operational support.
- Actual scope and price are tailored to your needs after formal discovery.
3. Zero-Risk Onboarding
Discovery and onboarding are billed at an hourly rate. If you're using HubSpot, you might consider our HubSpot Health Check [Link to page] for a deep-dive audit. There is no obligation to commit to ongoing fractional services after the discovery phase.
Do You Need a Fractional Admin or a Consultant?
If you think of your CRM like a car, a consultant is like a mechanic. Once they hand over the keys, it’s your responsibility to keep it running. They’re happy to do repairs, tune-ups, and maintenance when you bring it in.
A fractional admin is more like having a Dad that can fix cars. They'll change the oil, rotate the tires and diagnose that stalling problem as a lock-up torque converter issue, all without needing to be asked.

If you’re planning a larger consulting project, your fractional HubSpot admin will use their knowledge of your team, system and processes to help shape a realistic project scope and prevent costly pivots later.
-

A fractional admin gives your users someone who can listen to their feedback, make quick improvements to simplify their work, spot when they’re struggling, and step in with training and support. -
Understands Your Data
A fractional admin understands how your portal works and where your data comes from, so they can quickly answer questions, build the reports you need, and flag when new processes are required to get reliable reporting. -
Drives Ongoing Improvement
Unused retained hours each month can go toward lower-priority work like asset clean-up (properties, workflows, lists, etc.), process documentation, and designing new processes.
